ADMINISTRATIVE REVIEW PREP SUPPORT
All CEs (Contracting Entities) are required to participate in an administrative review (a program audit) from time to time. Recently approved CEs can expect to have their first program review within 12 months of their application approval.
Existing CEs are reviewed about every 3 years. Our prep service helps you take control of your review with confidence. We give you the tools you need to organize and submit your review documentation. Additional services are also available for those who need help preparing Corrective Action Plans (CAPs) following their program reviews.
2 PLANS AVAILABLE
There are 2 x available project plans to choose from:
- Standard Plan
- Advanced Plan
STANDARD PLAN (Recommended)
This plan focuses primarily on supporting you with the collection and organization of the claim related documents that are requested during your program review. We have most of these records readily accessible, as they are a part of the monthly plan services. We also deliver a checklist and a recommended organizational system to help you get started early on collecting all other non-claim records that will be required during your review. These include financial records, organizational policies, training forms, etc.
Since we typically do not have any of those non-claim records in our possession for the PY under review, we recommend the Standard Plan.
ADVANCED PLAN
If you prefer to send us your non-claim documents that are required for the administrative review, we can help with that if you register for the ADVANCED plan. The files will be requested, collected, and organized by our staff. They will be delivered back to you in an upload-ready digital format.
ELIGIBILITY REQUIREMENTS
Please note there are pre-requisites for clients to be eligible to be enrolled in the project service. We do not offer this project service to clients who do not meet the eligibility requirements. Please carefully review them on the ELIGIBILITY REQUIREMENTS tab.

To offer this valuable service at an affordable rate, the total project cost is paid across 3 equally monthly installments. The amount of the monthly installments depends on whether you are enrolled in the STANDARD or ADVANCED project service.

1. What can I expect in the Pre-Review discovery call?
Your advisor will have reviewed the program details on file, along with your claim documentation for the program year. During the call, we’ll cover various areas and get in agreement on the next steps. Examples of topics covered during this discovery call:
- Recent or upcoming known staffing changes.
- Review current budget vs. claim data stats.
- Determine whether an amendment is necessary.
- If an amendment is necessary, determine the best time to submit the changes.
2. How do I know when you’ll help me with a contract amendment?
We’ll decide this together during the Pre-Review discovery call.
3. Will you help me submit my application?
Yes, the project service includes 1 x 30-minute Zoom TX-UNPS session. We’ll screenshare and submit the application changes together. Additional blocks of 30-minutes may be charged if the session runs over for more than 10 minutes.
4. What do I do if I receive corrections after my initial application is submitted?
Notify us of the corrections ASAP. We’ll help determine what changes are needed. You can submit those changes independently in TX-UNPS. If you feel more comfortable with us helping you on this round, you can book & pay for an additional 30 or 60-minute Zoom session.
5. What is included in the partially customized Annual Program Doc packet?
The packet includes updates documents such as: Inventory sheets, price comparison samples, staff training registration forms, civil rights procedures & documentation, compensation policy, updated org chart, procurement policy, NDL compliance, Census data, and Building for the Future flyers and WIC flyers (English & Spanish).
ELIGIBILITY REQUIREMENTS:
This service is only available to existing clients who meet the following eligibility requirements:
1. MINIMUM ACCEPTABLE MONTHLY PLAN
Must have been subscribed to our PRO or ENTERPRISE monthly plan for a minimum of 1 x complete 12-month program year prior to registration for the project service.
2. MAXIMUM ACCEPTABLE PRIOR CLAIM EXPENSE SHORTAGES
Clients must have already cleared their CACFP expenses on 9 of the 12 most recent claims prior to registration. Clearing expenses means the client has been diligent in regularly submitting sufficient program receipts and valid Time Distribution Reports to demonstrate the operation of a non-profit food service.
