FAQ – Approving Daily Meal Production Records in MyFoodCloud

Why does my menu show “Pending Approval”?

Daily Meal Production Records (DMPRs) require approval before they are locked in for your claim. A Pending Approval status means the day’s record has been entered but not yet finalized. Until you approve the day, those meals cannot be included in your monthly claim.

How do I approve daily meal production records?

To approve your records in MyFoodCloud, use the following steps:

  1. Log into your dashboard and click ENTER or Get Started.
  2. Select Record Meals from the main menu.
  3. Click on the mealtime you want to review (e.g., Breakfast, Lunch, PM Snack).
  4. Select Daily Meal Production Record.
  5. Expand and review the records. Please note that records are separated by Ages 1-12 and Infants 0-11 months—you must click the Approve Menu button for each age group separately.

Do I need to approve every day separately?

The software gives you flexibility: MyFoodCloud allows you to click and approve days individually or batch-approve a range of days all at once.

Important: Texas Department of Agriculture (TDA) requires Daily Meal Production Records to be completed and verified on a daily basis. TDA administrative reviews frequently flag and disallow meals if records are not actively maintained day-by-day.

Because of this, our recommended best practice is to open and approve your menus at the beginning of each day, right as you start food prep.

Reviewing the record and clicking Approve Menu first thing in the morning ensures your planned menu is fully compliant before you cook, prevents data-entry backlog, and helps you immediately catch any missing components or substitution flags before they jeopardize your claim.

What happens if I forget to approve some days before the claim deadline?

If your claim has not been locked in, the software allows you to go back and do this. You will be alerted of missing approvals in your Quick Snapshot Dashboard. If it’s after your claim is locked by us, we can sometimes unlock the claim records to let you approve the missed days. Please notify us and be aware that this process takes 24 to 48 business hours.
