FAQ – Training

Common questions about CACFP training requirements, training resources, and booking a session with our team.


Section 1: Training Requirements

Is annual staff training still required for CACFP?

Yes. CACFP rules require annual training for all staff involved in the food program — including teachers, kitchen staff, and anyone handling enrollment or recordkeeping. The only specifically-named annual requirement is Civil Rights training. Beyond that, TDA expects you to train staff on your center’s CACFP procedures (meal counts, attendance, menu approval, recordkeeping, etc.).

Use the training links in Section 2 to fulfill these requirements, or book a custom training session for your team.

Do all staff need to complete the CACFP training modules, or just office staff?

Anyone with CACFP responsibilities should complete the relevant modules. At minimum:

  • All staff — Civil Rights training (annual)
  • Office / admin staff — Full CACFP onboarding (CACFP application process, meal patterns, recordkeeping)
  • Teachers and kitchen staff — Meal pattern, point-of-service meal counts, attendance recording

Where do I get my Civil Rights training certificate?

The Civil Rights training is hosted by TDA. When you finish the module, the system generates a completion certificate — save or print it immediately, as the link doesn’t always retain it.

Keep the certificate in your staff training file. TDA reviewers ask for it during Administrative Reviews.

I can’t find the “CACFP Childcare Centers 1 and 2” training. Was it renamed?

Yes — TDA renamed and consolidated those modules. The current equivalents are:

Section 3: Booking a Training Session

How do I book a one-on-one training session?

When you book, please include a short note about:

  • Who will be on the call (new staff member, multiple team members, owner)
  • What you’d like to cover (new-staff onboarding, software walkthrough, pre-TDA-visit prep, specific feature)

This lets us prepare materials and pull up your account before the call.

We just hired someone — can you train them on MyFoodCloud?

Yes. The fastest way is:

  1. Have them watch the MyFoodCloud playlist to get the lay of the land
  2. Book a 30-minute session for hands-on questions specific to your center
  3. Note in your booking message that this is for new-staff onboarding

For multiple new hires, mention that in the booking note — we’ll plan a longer session if needed.

We have a TDA visit coming up. Can we schedule a training to prepare?

Yes — pre-visit prep is one of the most common training sessions we run. Book a session here and include in your booking note:

  • The visit type (Administrative Review, Technical Assistance Visit, Lunch Visit, Entrance/Exit Conference)
  • The visit date
  • Who will be attending the visit on your side

We’ll walk through what the reviewer is likely to ask for and help you prep your records.

Can you put together a custom training plan for our team?

Yes. For multi-session or role-specific training plans (e.g., “train our front desk on enrollment, our teachers on point-of-service meal counts, and our director on claim review”), message CACFP Support with:

  • Roles to be trained
  • Topics each role needs
  • Preferred timeframe

We’ll come back with a recommended sequence and book the sessions.

When does booking a session make sense vs. just emailing a question?

Book a session when you need:

  • New staff onboarding
  • Pre-TDA visit preparation
  • A walkthrough of a software feature you’ve never used
  • Multiple questions that would take many email rounds to resolve

Send an email or message when:

  • You have a single quick question
  • You need a deliverable from us (a report, a letter, a document)
  • You’re sending us a file or piece of information

Section 4: Troubleshooting

My Calendly link / Google Meet link isn’t working — what do I do?

A few common fixes:

  • Try a different browser (Chrome works most reliably for Google Meet)
  • Make sure you’re signed into the Google account associated with the email the invite was sent to
  • Copy the link and paste it into a new tab rather than clicking from the email
  • If the meeting time is right now and the link still won’t load, message CACFP Support immediately — we can send a fresh link or call you directly

I booked a training session but I need to reschedule.

Use the link in your Calendly confirmation email to reschedule. If you can’t find the email, book a new time here and message CACFP Support to release your original slot.


Section 5: Records & Documentation

How do I document staff training for TDA?

Keep a staff training log with:

  • Staff member’s name
  • Training topic (Civil Rights, CACFP Basics, MyFoodCloud, etc.)
  • Date completed
  • A signed acknowledgment from the staff member
  • The completion certificate if one was generated (Civil Rights always generates one)

Store these in a clearly labeled training folder — TDA reviewers ask for the log during Administrative Reviews.

Do you keep a record of trainings I’ve completed with your team?

We log every 1:1 training session we run on your account. If you need a summary of trainings completed with us over the last year (for an Admin Review, for example), message CACFP Support and we’ll pull the list.
